What we collect, why we collect it, and the choices you have.

At a glance

Who we are

Jannuss Partners Ltd, a company registered in England and Wales. We are responsible for the personal information described here.

What we collect

What you send us through our contact form: your name, company, email address, phone number if you give it, and who you’d like to meet. Also the basic technical information any website needs to work.

What we do with it

We use it to reply to your enquiry, arrange a call and, unless you tell us not to, follow up about our services. We share it only with the services that help us run our business. We never sell it.

How to contact us

Email dan@jannusspartners.com to ask about your information, to have it corrected or deleted, or to stop hearing from us.

How to complain

Tell us first and we’ll try to put it right. You can also complain to the Information Commission (the ICO) at ico.org.uk/make-a-complaint.

01

Who we are

Jannuss Partners Ltd (“Jannuss Partners”, “we”, “us”) runs this website. We also run an appointment-setting service: we research the companies our clients want to meet, contact the decision-makers there, and book meetings for them.

We are the controller of the personal information described in this policy. That means we decide how and why it is used, and we are responsible for looking after it.

Jannuss Partners Ltd is registered in England and Wales under company number 15245395. Our registered office is 67 Smithbrook Kilns, Cranleigh, Surrey GU6 8JJ. We are registered with the Information Commission (ICO) under registration number ZB770226.

For anything about your personal information, email dan@jannusspartners.com.

02

What information we collect

Information you give us

When you send our contact form, we collect:

  • your full name

  • your company

  • your email address

  • your phone number, if you choose to give it

  • what you write under “Who do you want to meet?”, which may include the names of companies or people you would like to meet

  • whether you have ticked the box asking us not to follow up about our services.

You don’t have to give us any information. But we need your name, company, email address and a note of who you want to meet to reply properly. Your phone number is optional.

If we email, phone or meet you, we keep a record of what we discuss. Our phone calls go through CloudTalk, our phone system. CloudTalk records our calls. In virtual meetings (on video calls) we use Granola, an AI note-taking tool, to transcribe the conversation and help us write up notes. Granola does not keep the audio. We don’t announce this at the start of each meeting. If you would rather we didn’t use it, please tell us.

If you become a client, we also hold the business contact details of the people we work with at your company, records of the meetings we arrange for you, and billing and payment records.

Please don’t send us sensitive information, such as details of your health, religion or political views. We don’t need it.

Information collected automatically

When you visit our website, your browser sends technical information to Framer, the platform that hosts the site. This includes your IP address, your browser and device type, and the pages you request. It is needed to deliver the site and keep it secure.

We use Framer’s built-in analytics to see, in total, how many people visit and which parts of the page they use. Framer states that its analytics do not use cookies or create identifiers that follow you.

The site’s fonts are loaded from Google Fonts, so your browser also sends your IP address to Google when the page loads.

Information from other sources

If we have contacted you on behalf of one of our clients, see section 09.

03

How and why we use it

Data protection law says we must have a valid reason, called a lawful basis, for each way we use personal information. Here is what we do, and why.

To reply to your enquiry and arrange a call

We use the details you send to reply by email or phone, to understand who you want to meet, and to judge whether we can help.

Lawful basis: our legitimate interests in responding to people who ask about our services. If you enquire as a sole trader or partner, it is also to take steps you have asked for before entering into a contract.

To follow up about our services

After we’ve replied, we may contact you again by email or phone about our services, for example to see whether the timing is now right. We only contact you about services like the one you asked about.

If you’d rather we didn’t, tick the box on our contact form when you send it, use the opt-out in any of our emails, tell us on the phone, or email dan@jannusspartners.com. We will stop.

Lawful basis: our legitimate interests in following up with people who have asked about our services. The rules on email marketing allow this because you contacted us about our services and had the chance to opt out when you did, and in every message after that.

To provide our service if you become a client

We use your business contact details and our records to plan the work, report on progress, arrange your meetings and invoice you.

Lawful basis: performing our contract with your organisation (or with you, if you contract with us personally), and our legitimate interests in running the work well.

To keep business records and meet our legal obligations

We keep invoices, accounting records and some correspondence because the law requires it. We may also use information to establish, exercise or defend legal claims.

Lawful basis: legal obligation, for example under tax and company law, and our legitimate interests in protecting our business.

To run and protect our website

We use technical information to deliver the site, keep it secure, and keep spam out of our contact form. We also use visitor statistics, which don’t identify you, to improve the site.

Lawful basis: our legitimate interests in running a secure website that works.

Where we rely on legitimate interests, we only use your information in ways you would reasonably expect. You can object at any time (see section 08).

We don’t make decisions about you based solely on automated processing.

04

Who we share it with

We share personal information only when we need to.

Service providers

These providers act on our instructions and may only use your information to provide their service to us. We have accepted each provider’s data processing terms.

  • Framer B.V., based in the Netherlands, hosts our website. It receives and stores contact form submissions and emails them to us. Framer uses its own sub-processors, including Amazon Web Services, to run its service.

  • Microsoft, which provides our email and file storage through Microsoft 365, including the spreadsheet we use to keep track of enquiries and clients.

  • CloudTalk, based in Slovakia, which provides our phone system.

  • Granola, which transcribes our virtual meetings and helps us write up notes.

  • Google, which supplies the fonts used on the site.

Others

  • Our professional advisers, such as our accountants and lawyers, when they need it to advise us.

  • Our bank, which processes payments if you become a client.

  • Authorities, regulators and courts, when the law requires it.

  • A buyer of our business, if we ever sell or restructure it. They would have to treat your information in line with this policy.

If you become a client, we share with the people you meet only what they need to know to set up the meeting, such as your name, your company and the meeting details.

05

International transfers

Framer is based in the Netherlands and CloudTalk in Slovakia. The UK recognises both countries as giving adequate protection to personal information.

Some of our providers, or the companies they use, store or access information in other countries, including the United States. For example, Granola stores its data in the United States, and Framer, Microsoft and CloudTalk can transfer some information there. When that happens, the transfer is protected by safeguards recognised in UK law. For example, the provider is certified under the UK–US “data bridge”, or the transfer is covered by the UK’s International Data Transfer Agreement or its Addendum to the EU Standard Contractual Clauses.

You can ask us for more detail about these safeguards.

06

How long we keep it

We keep personal information only for as long as we need it. Then we delete it or make it anonymous.

  • Enquiries that don’t lead to work: 12 months after our last contact with you.

  • Client records, including contact details and correspondence: for as long as we work together, and then 6 years after the work ends, in case of questions or legal claims.

  • Invoices and accounting records: 6 years from the end of the financial year they relate to, as tax law requires.

  • Meeting and call notes, including Granola transcripts: for the same time as the enquiry or client record they belong to.

  • Call recordings: 90 days.

  • If you ask us not to contact you again: we keep only what we need to make sure we don’t, such as your name, company, and email address or phone number. We keep it for as long as we do outreach.

  • Website technical information: Framer holds this for running and protecting its service, under its own privacy policy.

07

Cookies and similar technologies

Cookies are small files a website can store on your device. Similar technologies, such as local storage, work in much the same way. The law allows a site to use the ones that are strictly necessary without asking you. Most others need your consent first.

We don’t use cookies or similar technologies for advertising, or to track you across other websites, so we don’t show a cookie banner.

Our visitor statistics come from Framer’s built-in analytics. Framer states that its analytics do not use cookies or create identifiers that follow you. Our hosting platform may use technologies that are strictly necessary to deliver the site securely and to protect our contact form from spam.

If we ever add something that needs your consent, such as advertising or embedded video, we will update this section first and ask for your consent before it is used.

08

Your rights

You have the right to:

  • Access: ask for a copy of the personal information we hold about you.

  • Rectification: ask us to correct information that is wrong or incomplete.

  • Erasure: ask us to delete your information.

  • Restriction: ask us to limit how we use it, for example while we check a correction.

  • Objection: object to us using it on the basis of our legitimate interests. If you object to direct marketing, including our follow-ups, we will always stop.

  • Portability: ask for the information you gave us in a format you can reuse, where we use it under a contract or with your consent.

  • Withdraw consent: where we rely on your consent, you can withdraw it at any time. This doesn’t affect anything we did before.

  • Automated decisions: you have rights when important decisions about you are made solely by automated means, including the right to have a person review them. We don’t make any decisions like this.

Some rights have exceptions. For example, we may have to keep some records to meet a legal obligation. If an exception applies, we’ll explain why.

To use any of these rights, email dan@jannusspartners.com. There is normally no charge. We may need to confirm your identity first. We’ll respond within one month. If your request is complex, we may need up to two more months; if so, we’ll tell you within the first month.

09

People we contact on behalf of our clients

Our work involves researching the companies our clients want to meet, and phoning and emailing the decision-makers there. If we have contacted you this way:

Where we got your details

We get your name, job title, work email address and work phone number from a mix of sources. These include business contact data providers, professional networking sites such as LinkedIn, public sources such as your company’s website, and sometimes from our clients. We only collect business information. If you’d like to know where we got your details, ask us and we’ll tell you.

Why we use them

We use them to contact you about a possible meeting with our client, and we keep a record of our conversations. Our lawful basis is legitimate interests: ours, and our client’s, in arranging business meetings.

If you agree to a meeting, we pass your name, contact details and the meeting details to our client so the meeting can take place.

If you want us to stop

You can object at any time, and we will stop contacting you. Just tell the person who contacts you, reply to any of our emails, or email dan@jannusspartners.com.

We keep a short record of your name, company and contact details so we don’t contact you again. Before we contact anyone from a list supplied by a client, we check it against that record. If you opt out with us, you won’t hear from us again on behalf of any client, even if your details turn up in a new list.

How we work with our clients

We have written agreements with our clients. They cover how personal information is used. We and our client are each separately responsible for the personal information we use, and each of us must follow UK data protection law. Under these agreements:

  • we do not contact anyone who is registered with the Telephone Preference Service or the Corporate TPS, or anyone who has asked not to be contacted, even if a client asks us to;

  • our clients confirm that they are entitled to share the contact details they give us for outreach;

  • when you agree to a meeting, we pass your name, contact details and the meeting details to our client, who must handle them in line with data protection law;

  • when we stop working for a client, each of us deletes or returns the other’s contact data, except where the law requires it to be kept. We still keep the short record described above, so that we don’t contact you again.

10

Security

We take reasonable steps to protect your information. Our website and contact form use an encrypted (HTTPS) connection. We use established providers for hosting, email and calls, only the people who need your information to do their work can see it, and we use two-factor sign-in on the accounts that hold it.

No system is completely secure, and email is not always encrypted from end to end, so please don’t send us anything sensitive. If a security incident puts your information at high risk, we will tell you, as the law requires.

11

Changes to this policy

We update this policy when our practices or the law change. The date at the top shows when it last changed. If we make a significant change that affects information we already hold about you, we’ll tell you directly where we can.

12
